Manual tasks down, audits smoother. --- # Full text ## Managing Loans and Bonds Without Excel: Automating Interest, FX and Accounting Source: https://www.zentreasury.com/blog/managing-loans-and-bonds-without-excel/ A treasury manager we spoke with recently runs a portfolio of roughly 150 external loans and 8 bonds. If the group's credit facilities are drawn in tranches, that loan count could grow toward 1,500 agreements. His problem was not finding the loans. It was everything that happens to them every month: interest calculations on fixed and variable rates, revaluation across more than 25 currencies, and accounting entries that had to be prepared for the ERP. All of it lived in Excel. That story is common. Corporate debt portfolios rarely fail for lack of a register. They fail at the calculation layer. ## Where the spreadsheet breaks A loan register in Excel works at ten agreements. At a hundred and fifty, four monthly jobs start consuming real time and carrying real risk: **1. Interest calculations.** Every agreement has its own day-count convention, payment frequency and rate structure. A fixed-rate loan is manageable. A floating-rate loan means finding the correct reference rate for the fixing date, adding the spread, and recalculating the schedule. Multiply by dozens or hundreds of agreements and interest becomes a multi-day monthly task, done under close deadline pressure. **2. Rate resets.** Floating-rate agreements reset on their own rhythm: monthly, quarterly, semi-annually. Someone has to know which fixings fall due this week, find the new rates, and apply them to the right agreements. Miss one and the accrual is wrong until somebody notices. **3. FX revaluation.** Debt in 25+ currencies has to be revalued at every close for reporting. In a spreadsheet that means maintaining a rate table, applying it across every open position, and hoping no cell reference broke since last month. **4. Accounting entries.** After the calculations comes the bookkeeping: interest accruals, revaluation results and amortisation, summarised and retyped into the ERP. Manual re-entry is where transposition errors live, and it leaves no trail from the journal back to the agreement that produced it. Bonds add their own layer. A bond bought at a premium or discount needs that premium amortised over its life, straight-line or effective interest. Valuation needs a market price or a discounted cash flow. In Excel that is typically a second workbook with its own logic, maintained by one person who understands it. ## What the auditor sees The deeper cost is auditability. When the auditor asks how an interest accrual was calculated, the answer "in this spreadsheet" invites the follow-up questions: who changed it, when, and against what source data? Spreadsheets do not keep an audit trail. Systems do. That is the real dividing line between debt tracking and debt accounting. A tracker tells you what you owe. An accounting system shows how every number was produced, from the agreement terms to the journal line, in a way a third party can verify. ## What automation actually looks like Here is the same monthly cycle when the portfolio runs in a system built for debt accounting, using [ZenTreasury](/solutions/debt-loan-management/) as the example: **Interest schedules are generated, not built.** Each loan carries its payment schedule: bullet, amortising or custom flows, with the day-count and business-day conventions set on the instrument. Interest is calculated by the engine, the same way every time. **Floating rates reset themselves.** Reference rates are maintained in a rate register, fed by a third-party market-data vendor, imported from Excel or entered manually. When a fixing falls due, the new rate is applied automatically and every affected schedule and accrual recalculates overnight. If a rate is missing, the system raises an alert instead of silently accruing on a stale rate. **Revaluation runs across the portfolio.** Period-end FX revaluation covers the whole book, across all currencies, in one run. No rate table to maintain by hand, no formulas to audit. **Bonds are first-class instruments.** Issued and invested bonds sit alongside the loans, with market-price valuation by ISIN or discounted cash flow valuation, and premium amortisation running straight-line or effective interest with a stored schedule. Floating coupons ride the same automated resets as the loans. **Accounting entries are generated.** Accruals, revaluations and amortisation produce vouchers mapped to your chart of accounts, exported to the ERP as files rather than retyped. Every journal line traces back to the agreement and calculation that produced it. The change is not that the work disappears. It is that the work becomes review instead of production. The team checks exceptions and signs off, rather than rebuilding calculations from scratch each month. ## When to make the move There is no universal portfolio size where Excel stops being defensible. But some signals recur: - Interest calculation takes more than a day each month. - A missed rate reset has already caused a wrong accrual at least once. - The FX revaluation workbook has formulas nobody wants to touch. - The auditor's questions about debt balances take longer to answer each year. - The portfolio is about to grow: new facilities, new tranches, new currencies. Case Adapteo.** Adapteo is a leading Northern European company for adaptable buildings, domiciled in Finland. The company was established through a partial demerger from Cramo in summer 2019. Adapteo builds, rents out and sells buildings for schools, daycare centres, offices, elderly care facilities and events for both temporary and permanent needs. All buildings are based on a modular and circular construction concept and can be adapted when user needs change. The majority of Adapteo's customers are in the public sector. Adapteo was listed on the Stockholm Stock Exchange with trading beginning July 1, 2019. Adapteo's 2019 revenue was 216 million euros. Adapteo was born from Cramo's partial demerger. The director of Treasury and Risk Management, Jesse Räisänen, explains that creating the treasury unit began in spring 2019 with a goal for demerger completion by early July. Many treasury procedures and models were inherited from Cramo. > "In the beginning there wasn't even a company for which a treasury system was searched for. This enabled reconstruction, although many procedures and models came from the old company." The treasury software was put to tender among four service providers. ZenTreasury was selected as one of two finalists. According to Räisänen, the decision hinged on system flexibility, accessibility and implementation speed. > "Our timetable was quite ambitious and we had to set everything up in a few months. Information about the baseline and monthly data were registered to the document. The Financial Controller of the corporation, Elina Finnilä, explains that while there were no initial problems with the Excel sheet, it soon became laborious when existing contracts were modified or new leases were added. The risks related to mistakes and formula functions were also higher with the Excel sheet. > "It became clear very soon that we needed a separate software for the administration of the leases. We surveyed three different alternatives, and after some interviews ZenTreasury was chosen as our partner. ZenTreasury brought safety and peace of mind to IFRS 16 reporting." The organization was able to share reporting responsibility to different business units and employees. The implementation process was relatively quick and clear, since Accountor was already using IFRS 16 entries. Finnilä notes that learning to use the service itself took some time initially. > "We signed the contract at the end of June, and the IFRS 16 entries were already reported with the help of ZenTreasury in September. So, the implementation was quite fast, considering that the summer holiday season was going on at the same time." Customer service worked seamlessly throughout the process and provided indispensable support, enabling the organization to report everything according to its wishes and demands. According to Finnilä, cooperation with ZenTreasury has ensured that the IFRS 16 numbers are correct and accounting works as planned. The platform has also saved time in several fields, as it is easy and quick to enter data and changes into the service. During the thinking phase the entries were done in Excel, which is not a long-term solution, nor an easy one. The treasury department discovered ZenTreasury at a business event. > "ZenTreasury's advertisement was brought to the office from the event, and that's where it all started." In the selection phase the company invited tenders from only a few service providers. > "We were looking for a partner that would execute the lease module. ZenTreasury proved to be the most flexible one, and also stood out price-wise. We came to the conclusion that this was something worth investing in." ## Co-operation and easy-to-use software as strong points The examination into whether all source data was at the same place took some time in the beginning of the project. Vilma Forsell says that they were clearly told what was needed, and that the questions were answered immediately. > "We weren't fully familiar with the new accounting standard, so it was a relief that they were able to express things clearly for us. Everything worked really fast at ZenTreasury's side and the Excels were taken in at once. We managed to build the environment in such a way that it functioned instantly." With the implementation of the software it is no longer necessary to ask the corporation countries to produce calculations. > "Now we can be sure that if there is a mistake somewhere, it is our own mistake, as the software produces the correct numbers. We don't have the resources to check everything that has been done manually, so the software has given us some peace of mind in this regard as well. We also don't need as much resources." At first there was more communication, but at the moment it takes four employees a few hours a month to take care of the leasing calculations for one third of the corporation. Initially all companies dealt with euros and each contract had its own currency. > "After the acquisition the corporate currency is no longer euro. We have decided to expand using ZenTreasury to cover the whole corporation from the beginning of 2021." Vilma Forsell notes that as co-operation has gone forward, there has been much less communication with ZenTreasury. > "By using the software we have learnt to navigate ourselves. We have a team of a few people that monitors the changes and enters them into the system." This was the lease accounting software they were looking for. Like most companies ahead of the IFRS 16 implementation date, ALEC started to calculate the impact of the company manually in Excel. Although this was not ideal, it was necessary to get figures for their operations to plan for IFRS 16. It was not sustainable, however. They realised they needed a long-term solution for their problem and began looking for alternatives. ## Having answers to questions not even thought of After a demo from ZenTreasury, ALEC had more clarity of what was needed. The treasury department at Lindström was founded at the end of 2016. Initially the transactions related to treasury were recorded in Excel and the G/L entries were made manually in the ERP system. The internal funding currency was euro, which is why the valuation of internal loans and the G/L entries related to them were divided for several different group companies. Eventually the funding currency was changed from euro to the home currency of group companies. Since FX trading was also centralized to treasury, parent company and treasury had a lot more to be processed from an accounting perspective. > "At the same time of embarking on TMS implementation, we were renewing our Finance organization and centralizing certain finance functions to Finland. When the implementation of the TMS was finally topical, more detailed conversation about the possible co-operation was started. After considering all the options, the choice was ZenTreasury.
